We are the data controller for the personal data described in this policy. Questions or requests: service@hodgesnet.com.

Depending on how you use the site, we collect:

• Contact & booking details — name, email address, phone number, podcast name and billing address.
• Account data — if you create an account: email, encrypted password (managed by our authentication provider) and booking history.
• Payment data — card payments are processed by Stripe. We do not see or store your card number; we receive a payment reference, the amount, tax breakdown and the billing address you enter at checkout.
• Session data — bookings, invoices, downloadable receipts and records of the recording files we deliver.
• Technical data — basic server logs (IP address, browser type, pages visited) used to keep the site working and secure.

We do not record or store audio or video from your session on this website. Your recordings are delivered via a private cloud download link.

• Take and fulfil your booking — including sending confirmations, calendar invites, invoices and recording download links. Lawful basis: performance of a contract.
• Take payment and issue VAT invoices. Lawful basis: performance of a contract and compliance with our legal obligations (UK tax law).
• Manage your account, including applying loyalty discounts for repeat bookings. Lawful basis: performance of a contract.
• Keep the site secure and prevent fraud. Lawful basis: our legitimate interests.
• Occasional updates about the studio (only if you opt in) — for example new services or availability. Lawful basis: your consent.

We use the following processors to run the studio. They only receive the data they need and are contractually required to protect it:

• Stripe — payment processing, VAT calculation and receipts.
• Resend — sending booking confirmations, invoices and account emails.
• Google Calendar — scheduling and studio-owner calendar sync.
• Supabase — hosted database and authentication for accounts and booking records.
• Cloud file hosting — for the private download link to your recording files.

We do not sell your data. We only disclose it to third parties when legally required (for example a court order or HMRC).

Our processors may store data in the UK, EU or other countries with adequate safeguards (such as the UK IDTA or EU Standard Contractual Clauses). Booking and account records are held in the region provided by our database host.

• Booking, invoice and payment records — retained for at least 6 years to meet HMRC record-keeping requirements.
• Account data — kept while your account is active; deleted (or anonymised in historical booking records) on request.
• Marketing contacts — kept until you unsubscribe.
• Recording files — cloud download links are provided at hand-off; we do not commit to long-term archiving of session files.

Under UK GDPR you have the right to:

• Access the personal data we hold about you.
• Ask us to correct anything that is inaccurate.
• Ask us to erase your data (subject to legal record-keeping duties).
• Object to, or restrict, certain processing.
• Withdraw consent where processing is based on consent.
• Ask for a portable copy of the data you gave us.

To exercise any of these rights, email service@hodgesnet.com. We will respond within one month.

You also have the right to complain to the Information Commissioner's Office (ICO) if you believe we have handled your data unlawfully.

The site uses only the cookies that are strictly necessary to run bookings and keep you signed in. We do not use advertising cookies or third-party analytics trackers without your consent. If we add analytics in future, we will update this policy and ask for consent where required.

We use HTTPS across the site, encrypted database storage, hashed passwords via our authentication provider, and role-based access controls to limit who can see booking data. No system is perfectly secure, but we take reasonable steps to protect your information.

The studio is intended for use by adults. We do not knowingly collect personal data from children under 16. If you believe we have, please contact us and we will delete it.

We may update this policy from time to time. The date at the top of the page shows the latest version. Material changes to how we use your data will be communicated by email where appropriate.
